So, you’ve taken the first step and hired an Administrative Consultant! Now, you need to know how to best utilize this great addition to your “team”. Alright, let’s go over a few things you need to know to efficiently assign tasks and have your AC perform them in a timely fashion.
Firstly, communication is key. Lack of clear, precise communication could mean the difference between a job well done and one that is incomplete. Clearly define your expectations both referring to the task at hand and completion date. This is important to ensure that the outcome is the one you had anticipated.
Just like in school, remember to cover the five W’s and How. (If you need a refresher, that’s Who, What, When, Where, and Why). By doing this you can be sure that you are communicating in a very specific manner. As well, don’t be annoyed if you receive an email back, reiterating in the Admin Consultant’s own words the assigned task. This act of communication eliminates any confusion and ultimately saves both of you time and resources.
Determine the role that your AC needs to play. Will she(he) be part of a project or working independently? This will also need to be communicated as clearly as possible so that your AC can call upon other team members if required or defer to you alone as the situation dictates.
Once you have determined that your AC is suitably trained for the task required, do not be afraid to let go of your delegation. Yes, their may be questions regarding details as the project nears completion, but also trust in the professionalism of the Administrative Consultant. This is the reason you hired them in the first place, right?
If you have an ongoing contract/relationship with your AC then it will also be important to manage workflow. Assigning a weekly task sheet via email will be of great benefit to you both. If you have a responsible AC you will see that the tasks are being completed and hopefully should be receiving regular feedback as well.
On the subject of feedback, it is very important that you provide sufficient advice in order to increase quality and productivity. If praise is appropriate, then definitely go ahead and use that too!
